Link Employees to WhatsApp
Invite staff to link their WhatsApp identity with a one-time token, so conversations and actions are attributed to the right person — and revoke access the moment someone leaves.
When your staff interact with customers over WhatsApp, MyMicroFinance App needs to know who is who. An employee link ties a staff member's personal WhatsApp number to their employee profile, so messages and actions they take are attributed to the right person instead of an anonymous number.
Manage links from Settings → WhatsApp (open settings) in the Employee Links section.
You need at least one connected number first — the settings page will remind you to connect a WhatsApp number before linking employees.
The Employee Links List#
Each row shows:

| Pending | Invited, but the employee hasn't confirmed yet. The row shows the invite token and its expiry (for example expires in 7 days). |
| Active | Confirmed — conversations from this number are attributed to the employee. |
| Revoked | Access withdrawn — the link no longer attributes anything. |
Link an Employee#
- In the Employee Links section, start a new link. The Link Employee to WhatsApp dialog opens.
- Choose the WhatsApp number the employee will message.
- Choose the Application and the Employee from your staff list.
- Enter the employee's WhatsApp phone — the number they'll message from. It's stored in international (E.164) format, for example
+27821234567. - Send the invite. The employee receives a one-time token via WhatsApp; replying with it from their phone confirms the link.
While the invite is pending, the list shows the token and its expiry so you can help an employee who lost the message.
Manage Existing Links#
- Resend invite — sends a fresh token over WhatsApp if the original expired or got lost. You'll see "Invite resent. New token sent via WhatsApp."
- Activate — manually confirms a pending link if you've verified the employee another way.
- Revoke — withdraws access after a confirmation prompt. Do this the moment a staff member leaves; their WhatsApp number immediately stops being attributed to your workspace.
Revoking is the off-switch for a departed employee's WhatsApp access — make it part of your offboarding checklist, alongside removing their portal login.
Why Attribution Matters#
With links in place, the WhatsApp Inbox can show which staff member handled a conversation, and workflow steps that involve staff (like identity verification) know who they're talking to. Without a link, a message from a staff member's phone looks like any other customer message.
